Use of School Facilities
Print Policy

Available for Community Activities

Buildings and facilities of the Habersham County Board of Education may be available for use by groups for community activities.  Board facilities are not available to any organization for regular, long-term use.  Emergency use of buildings will be considered by the Board on an individual basis.  Requests for use of school facilities and buildings are made to the principal of the school, and the principal will request the use of the kitchen through the School Nutrition Director.  The Board reserves the right to approve/reject any or all requests for the use of the facilities.  Requests for the use of the kitchen shall be made to the School Nutrition Director.  Such requests may be approved by the Superintendent upon the recommendation of the principal of the school involved.

Outside Groups Pay Expenses for Use of Buildings

For use of school buildings and facilities not related to the school program, the expense involved must be paid by the group.  Such expenses must be paid to the Board of Education and must cover items such as lights, water, heat, equipment, etc.  Fees for janitorial services will be collected over and above other charges.  Fees for the use of the kitchen which covers labor, food, supplies, and use of equipment will be collected by the school nutrition program.  The principal or a responsible person designated by the principal must be present at all times when buildings are in use.

Any business (profit) organization, association, or any other entity that has available to it liability insurance coverage shall furnish the Habersham County Board of Education a certificate of insurance protecting the interest of the Board of Education in an amount of $300,000 or more.  Governmental organizations and/or entities shall furnish the Habersham County Board of Education a certificate of indemnification stipulating that it will reimburse the Board of Education for any damages, expenses, etc. that have been assessed because of tort action arising out of the activities of such governmental organization and/or activities.

Use of Facilities by Organized Athletic Groups

Any organized Habersham youth athletic group not affiliated with the school system or the Habersham County Recreation Department or the Habersham County Little League which requests use of the school facilities (buildings or fields) must meet certain criteria and provide certain assurances.  All arrangements for use of facilities must be made through the office of the Athletic Director.  Scheduling and all arrangements will be made by the Athletic Director for the use of facilities which are not part of the core of the school structure and for which the principal is willing to allow the facility’s use.  Before the facility can be used, the following documents must be presented and assurances made.

On file in the Superintendent's Office

A copy of the organization's liability insurance agreement

Verification that all coaches have undergone a criminal records check ( Sheriff's Dept. can assist with this)

Understanding that all arrangements for use of the facility must be made through the Athletic Director and his/her terms.  This includes working out an arrangement to limit access to any part of the school facility not being specifically used by the group.

Understanding that students will practice no more than twice weekly and that practices will be finished no later than 8:00 p.m.

Understanding that adults will be present until all students have been picked up at the end of practice.

Respect for property by keeping things as clean as you found them and by accepting responsibility for any damages incurred to or loss of the property.

The cost for the use of the facility will be calculated at the rate of $250.00 per team for a 10-week period.  This fee will be applicable even if the coach or attending adults are employees of the school system. Any student absence from school relating to travel for this activity would be considered an unexcused absence.

Students will be expected to maintain regular school attendance and satisfactory classroom performance while involved in this program.
